Exporting and deleting data
Download your contracts, lines, ledger, lots, exceptions, usage and audit log as CSV, delete a contract, and see when a cancelled workspace's data is deleted.
On this page
Your data stays yours. You can export all of it as CSV at any time, including when the workspace is read-only. When a subscription ends, the data is deleted 30 days after the paid term ends, and admins are told the date in advance.
Exports
Open Settings › Data and click a file under Export everything. Anyone in the workspace can download them. The files are for your own check in a spreadsheet: use them to reconcile against TrueUpp, not to recalculate it.
| File | One row per | Main columns |
|---|---|---|
| contracts | Contract, including archived ones | contract_id, account_id, label, currency, stripe_customer, archived_at |
| lines | Line version, including superseded ones | period_start, period_end, line_type, relates_to_period, units, amount, currency, status, version, superseded, invoice and item IDs, approved_at, pushed_at, invoiced_at |
| ledger | Contract and period, from the latest run that covered it | included credits granted, opening rollover, usage credits, free allowance, rollover drawn, included drawn, grace drawn, overage units, unused, rolled over and its expiry, expired, forfeited, carried forward, closing rollover, locked |
| lots | Rollover lot event | period_start, lot_id, source, event (drawn, created, expired, forfeited, carried forward), units, expires_on |
| exceptions | Exception, open and resolved | severity, code, contract, period_start, message, created_at, resolved_at, resolution_note, reopened |
| usage | Imported usage row | import_file, import_status, account_id, metric_name, period or timestamp, quantity, event_id, status, retry_of, mapped |
| audit log | Audit log entry | at, actor, action, entity_type, entity_id, before, after |
Every file is named with today's date, for example TrueUpp-lines-2026-10-19.csv. Times are in UTC.
Other downloads
- Exceptions and Audit log each have their own Export CSV button, with the same content as above.
- Each audit statement downloads as PDF or CSV.
- Each close run has a findings report as PDF or Markdown. See reviewing lines.
Deleting a contract
Admins can delete a contract from its contract page: Delete…, then Confirm: delete in 30 days.
- You can only delete a contract that has never had a line pushed to your billing system. A contract with pushed, invoiced or voided lines can only be archived, so the history behind those invoices stays.
- Deleting archives the contract straight away, which frees its slot on your plan.
- 30 days later the contract is removed, with its terms, lines, ledger, exceptions and statements.
- Its usage rows stay in your usage imports, no longer attached to any contract.
To stop billing a contract but keep its history, archive it instead. See modeling a contract.
When you cancel
There's no button to delete a whole workspace. Data is deleted when a subscription ends:
- An admin cancels in the billing portal (Settings › Billing › Manage billing). See plans and billing.
- Admins get an email confirming the cancellation and the date the data will be deleted. The date also shows on Settings › Billing.
- The workspace stays available until the end of the paid term, then becomes read-only. Exports keep working.
- 30 days after the paid term ends, TrueUpp deletes the workspace's contracts, usage, ledger, lines, statements and audit records.
- Admins get a written confirmation by email once it's done.
Export anything you want to keep before the deletion date.
Deleting sooner
To have your data deleted before then, email hello@trueupp.com. Deletion requests are honoured within two business days.
Read-only workspaces
A workspace becomes read-only when a payment has been overdue for more than 14 days, or after a cancelled subscription's paid term ends. In a read-only workspace you can still sign in, read everything and download every export. You can't import, run, approve or push. See overdue payments.
What TrueUpp stores
TrueUpp needs an account ID, metric names and numbers. It stores no end-customer names, emails or addresses. Contract labels that look like an email or a person's name are flagged when you save them. See security and data handling.
